Photographic and Video Policy
- Policy Statement
Wortley Rugby Union Football Club (WRUFC) recognises the positive role that photography and video can play in celebrating participation, developing skills, and promoting rugby union. At the same time, the club is committed to safeguarding children, young people, and vulnerable adults and ensuring images are taken and used appropriately.
WRUFC formally adopts and implements the RFU Guidance on Photography and Video Recording and applies this policy in line with its Safeguarding Vulnerable People Policy. This policy does not replace the club’s duty of care to safeguard participants.
- Scope
This policy applies to:
- All children and young people under the age of 18
- All vulnerable adults participating in club activities
- Parents, carers, spectators, volunteers, coaches, officials, and visitors
- All photographic and video images taken at WRUFC activities, including matches, training, tours, and events
- Consent and RFU Requirements
The RFU requires consent for the participation of children and young people, which includes consent relating to photography and video. Consent is obtained via the RFU medical and consent process.
Granting consent:
- Is a condition of participation under RFU regulations
- Does not remove the RFU’s or WRUFC’s duty of care to safeguard children and vulnerable adults
The RFU reserves the right to take photographs or video footage of players “in play” and to use such images for the promotion of rugby union and RFU events.
- Personal Photography by Parents and Spectators
Rugby union is played in open environments, often on public pitches. WRUFC acknowledges that it is neither practical nor desirable to prohibit all personal photography.
The club recognises that:
- Parents and carers may wish to take photographs or video of their own children
- Action shots taken during play may include other children incidentally, similar to photographs taken at school events or social occasions
However, the club maintains a duty of care and expects all personal photography to be undertaken responsibly.
- Acceptable Practice
The following is considered acceptable:
- Action shots of matches or training sessions
- Images taken openly and transparently
- Images focused on rugby activity rather than individual children
All individuals taking photographs or video should be prepared to explain who they are photographing and why, if asked by a club official, parent, or volunteer.
- Challenging and Reporting Concerns
WRUFC operates a challenge and report approach:
- Any person taking photographs or video may be politely challenged by a club member, parent, or official
- If concerns remain, the matter must be reported to the Club Safeguarding Officer (CSO) immediately
- The CSO will assess the concern and take appropriate action, including contacting the Constituent Body Safeguarding Manager (CBSM) or RFU Safeguarding Team if required
- Club Photography and Official Use
Where photographs or video are taken on behalf of WRUFC:
- Images will only be used to promote rugby union and club activity
- Consent will be confirmed prior to publication
- Images will not include personal details such as full names, addresses, or contact information
- Children will be appropriately dressed and images will be respectful and proportionate
Images will not be used in a way that could cause distress or embarrassment.
- Prohibited Practice
The following is not acceptable and may result in removal from the venue or further action:
- Photography or video that focuses on a single child without clear justification
- Images taken covertly or secretly
- Use of photography in changing rooms, showers, or toilets
- Taking or sharing images that are sexually explicit, suggestive, or exploitative
- Sharing images of children or vulnerable adults on personal social media without appropriate consent
- Storage, Sharing, and Online Use
WRUFC will manage images responsibly:
- Images will be stored securely
- Access will be limited to authorised individuals
- Images will be reviewed periodically and removed if no longer appropriate
Online platforms will be monitored to ensure content complies with RFU guidance and safeguarding standards.
- Whistleblowing and Safeguarding
WRUFC encourages a culture of openness. Anyone who has concerns about the use of photography or video is encouraged to report them without fear of detriment.
Safeguarding concerns may be reported to:
- The Club Safeguarding Officer
- The Constituent Body Safeguarding Manager
- The RFU Safeguarding Team
- Statutory agencies in an emergency
- Policy Review
This policy will be reviewed annually, or sooner if required due to changes in RFU guidance or legislation.
